The inspection and the correction are related—but they are not the same job.
An inspection can be completed correctly even when it discovers a problem that will take days or weeks to resolve. Treating the inspection itself as “still open” until every repair is complete confuses two responsibilities. Closing the inspection and forgetting the deficiency is worse.
A better pattern is to preserve the completed inspection while creating a separately trackable corrective responsibility tied back to the finding.
Preserve the evidence that explains why the correction exists.
A corrective request is much more useful when staff do not have to reconstruct its origin from memory. The linked record should make it clear which inspection, question, and response produced the follow-up.
Why independent lifecycles matter.
Suppose an inspection identifies a damaged door closer. The inspection may be complete today: the item was checked, the condition was documented, and the finding was recorded. The repair may require a vendor, part, approval, or future visit. That correction should remain Open until it is actually resolved even if the parent inspection has already closed.
Completing the inspection should not make the problem disappear. Correcting the problem should not require keeping the original inspection artificially open.
Questions to ask about inspection software.
- Can forms require the information that the inspection actually needs?
- Can a configured finding create a separate corrective responsibility?
- Does the corrective record retain the original inspection context?
- Can parent and corrective records close independently?
- Can management see unresolved corrective work after the inspection is complete?
